How to Customize the QuickBooks Invoice Email

This guide helps you customize QuickBooks invoice emails. If your firm uses Confido Legal, our team can assist with QuickBooks settings, Zapier automation, or LeanLaw integrations.

QuickBooks recently updated their email settings, and it's no longer possible to both remove the QuickBooks "Review and Pay" button and display the Confido payment link in the body of the invoice email.

If you're exploring ways to work around this issue, here are three options to consider:

Option 1: Adjust QuickBooks Settings

1A: Keep the "Review and Pay" Button and Display the Confido Payment Link

This option still puts the QuickBooks "Review and Pay" button in the email but also allows you to include the Confido payment link. Here's how:

  1. In QuickBooks, navigate to Settings > Account and Settings > Sales > Online DeliveryChoose Online invoice with full details and PDF attached.

  2. Turn off "Accept Credit Cards" and "Accept ACH" under Settings > Account and Settings > Salesimage (1)

  3. When you email the invoice from QuickBooks, the body of the email will include the Confido payment link, but it will also include the QuickBooks "Review and Pay" button. Note: clients will not actually be able to pay if they click the QuickBooks button.  

1B: Remove the "Review and Pay" Button and Display the Confido Payment Link Only on the Invoice

This method removes the QuickBooks "Review and Pay" button from the email. However, the Confido payment link will only appear in the attached invoice.

  1. Go to Settings > Account and Settings > Sales > Online Delivery.
  2. Select HTML with full details and PDF attached.image (2)
  3. Manually include the Confido payment link in the email body or instruct clients to open the attached invoice to find the link.

Option 2: Use Zapier to Build Custom Invoice Emails

With the no-code automation tool, Zapier, you can take complete control of your invoice emails.

Here's how this approach works:

  1. Make sure you have the Confido QuickBooks integration settings enabled to create a payment link for each invoice and print the payment link to the invoice. For more details on setting up your QuickBooks integration, see this article
  2. Create a two-step "Zap" in Zapier where the Trigger is: New invoice created in QuickBooks, and the Action is to either send or draft an email through your email provider.  
  3. Customize your invoice email through Zapier and include the Customer Memo Value field in the body of your email. This will ensure the Confido payment link is always inserted into the body of your email.
  4. Now every time you create a new invoice, an email will be either sent directly to the client or drafted for you in your inbox. The email will include the Confido payment link, and any payments made on that link will be applied back to that invoice in QuickBooks.
